Long-term Data Archiving Policy for Journal of Social Sciences, Chulalongkorn University

The Journal of Social Sciences, Chulalongkorn University recognizes the importance of long-term storage and preservation of academic information to ensure that published scholarly works remain permanently accessible and sustainable. The journal uses the ThaiJO (Thai Journal Online) system (Open Journal System), operated by the National Electronics and Computer Technology Center (NECTEC)(Thailand), as its primary system for managing and long-term archiving of journal data.

2. Objectives

  • To maintain the accuracy and integrity of journal content over the long term
  • To ensure that published academic works remain continuously accessible even in the event of unforeseen circumstances
  • To prevent data loss due to technological obsolescence or changes in software and hardware
  • To support the long-term citation of academic works

3. Data Storage through the ThaiJO System

  • Full-text Article Storage: All published articles are stored as searchable PDF files
  • Metadata Storage: Bibliographic information and related metadata for all articles are stored in the ThaiJO system database
  • Data Backup: NECTEC implements an automatic backup system with data stored in multiple locations to prevent data loss
  • Data Security: The system has appropriate security measures to maintain data integrity

4. Supplementary Measures for Long-term Data Storage

  • Internal Organizational Backup: The journal will back up all issues in Chulalongkorn University's data storage system every 6 months
  • Print Media Storage: The journal continues to publish physical copies and distributes them to the National Library and major academic institution libraries in Thailand
  • Creation of Standard Files for Long-term Storage: In addition to PDF files for distribution, the journal will create files in open standard formats, such as PDF/A, for long-term storage

5. Access to Archived Data

  • Current Access: Users can access all articles through the journal website and ThaiJO system
  • Future Access: In the event that the main system becomes unavailable, users will be able to access data through backup channels prepared by Chulalongkorn University
  • Emergency Access: In cases where all online systems are unavailable, users can still access data through print media stored in various libraries

6. Technology Change Management Plan

  • File Format Updates: Regular monitoring of file format standards and updating stored files to comply with current standards
  • Data Migration: Plans for migrating data to new systems if necessary, with thorough testing and verification of data accuracy
  • Collaboration with Partners: The journal will collaborate with NECTEC and other institutions in developing and improving technologies for long-term data storage

7. Emergency Response Plan

  • Off-site Backup: Backup data is stored in locations separate from the main system to prevent data loss in case of disaster
  • Data Recovery Plan: Clear data recovery procedures that are regularly tested
  • Coordination with External Agencies: Coordination with NECTEC and other organizations to accommodate cases where the main system is unavailable

8. Policy Review and Improvement

This long-term data storage policy will be reviewed and updated annually, or when significant changes occur regarding technology or data storage practices, by the journal's editorial board in collaboration with data management experts from Chulalongkorn University.
